Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide high-level support to the Executive Team and to the Board of Directors and ensure smooth day-to-day operations. This role requires excellent communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will act as a gatekeeper, liaison, and trusted partner to senior leadership.

Responsibilities

  • Manage and maintain executive schedules, including meetings, appointments, travel, and conferences.
  • Prepare, proofread, and edit correspondence, reports, presentations, and other documents.
  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Coordinate logistics for meetings, including agendas, minutes, follow-ups, and materials.
  • Arrange complex travel plans, itineraries, and accommodations.
  • Handle confidential information with integrity and discretion.
  • Assist with special projects, reporting, and research as directed.
  • Track and submit expense reports, invoices, and reimbursements.
  • Support executive team in prioritizing tasks and streamlining workflows.
  • Maintain office systems, files, and records both digitally and physically.

Qualifications

  • 2+ years preferred in an administrative or leadership role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint) and other office software.
  • Exceptional organizational and time-management skills.
  • Ability to work independently and handle a high level of responsibility.
