Performs a wide variety of duties with the first functions of document preparation, closing and funding of SBA loans. Other duties including clerical and accounting duties, analysis of SBA and other member business loan requests, compiling reports and other support duties related to SBA Lending Services. Receives, reviews and processes SBA loan documents; maintains loan application files and other duties related to the processing and servicing of the SBA loan portfolio. Conducts loan risk analyses as assigned and authorized by Manager. Ensures that members, prospective members and employees are promptly and professionally served. Performs other support functions as assigned.
1. Interacts with customers, attorneys, title companies, lenders and their assistants, etc. to provide exceptional customer service.
2. Reviews and approves all required documentation received, i.e. purchase agreements, corporate documents, lease agreements, landlord subordinations, construction documentation, vehicle titles, etc. as required for the loan.
3. Requests for a revised loan presentation if needed.
4. Updates PCFS.
5. Submits loan to SBA/USDA for approval and prepares SBA Loan Authorization for any SBA PLP loans.
6. Pays the guaranty fee.
7. Engages the attorney.
8. Reviews closing documents before releasing documents to insure accuracy and compliance with regulatory requirements.
9. Schedules and coordinates loan closings.
10. Ensures all loans are closed and funded according to the approved loan request, bank policy, regulatory guidelines and SBA/USDA policies and procedures.
11. Coordinates with the SBA loan servicing department for the loan funding and booking.
12. Finalizes loan file for post close audit.
13. Follows up on any outstanding ticklers and/or exceptions as needed.
14. Responsible for updating procedures of job duties as it pertains to related position.
15. Be available as need to cross train and perform additional tasks as assigned.
16. Adheres to the BSA Policy and all other Bank Policies.
17. Other duties and responsibilities as may be assigned by supervisor.
18. Effectively receiving, reviewing and processing SBA applications
a. Reviews assigned loan files to insure accurate documentation/information is being obtained in order to proceed with request and closing.
b. Input and maintain files in SBA One, SBA Application software, and SBA Servicing core processing systems
c. Prepare and review SBA Authorization for accuracy and SOP compliance and ensure terms and conditions correspond with approval documentation.
d. Responsibilities and procedures, inclusive of title insurance (exceptions, endorsements, etc.)
e. Complete initial audit of loan file and coordinate transfer to servicing function for final audit review.
f. Maintain a strong working knowledge of the SBA SOP’s
g. Understands and recognizes when exceptions to bank policy and procedures are present.
h. Engages any 3rd party vendors and orders all UCC searches, flood determinations, title commitments, OFAC, CAIVRS, etc. as required.
i. Reviews and approves all title commitments, surveys, insurance, fuel supply agreements, UCC searches for lien position and any other third-party documents as needed.
j. Prepares Closing Checklist on each loan and updates the checklist as needed.
k. Prepares Construction Checklist for each loan, if required, and updates the checklist as needed.
l. Coordinates with 3rd party inspector on all construction loans.
m. Prepares SBA packaging forms.
n. Obtains INS verifications, if needed.
o. Orders and reviews all 4506 transcripts.
p. Creates loan file which will contain all documentation.
q. Tracks and updates loan status from application to funding, keeping department management constantly apprised of pipeline status. Communicates all problems and concerns in a timely and effective manner.

ii. Other documents requiring signatures sent with closing documents
t. Maintaining completed loan files after closing &/or ensuring that documents are imaged appropriately
u. Ensures that lending operations are conducted in accordance with established Credit Union policies and are legally compliant.
v. Stays informed regarding compliance, process and regulatory changes.
19. Establishing and maintaining effective and professional business relationship with members
a. Ensures that members’ requests, questions and issues are promptly and courteously resolved.
b. Ensures that the Credit Union’s quality and professional reputation are projected and maintained.
c. Communicates effectively with members whose loan requests are denied, explaining reasons and alternatives.
20. Assisting with loan servicing functions as assigned
a. Receives and processes disbursement requests promptly & accurately, including document imaging
b. Processes payment of SBA loan fees and maintains accurate records of such
c. Assists with resolving Exception List items as assigned
d. Assists with updating and maintaining SBA loan files and collateral-related items as assigned
e. Ensures proper maintenance, cleanliness and security of work area, including appropriately securing information and documents containing private or confidential information.
21. Establishing and maintaining effective working relations with Credit Union personnel and management
a. Coordinates activities with other departments and facilitates effective communication as needed
b. Supports training assignments and functions as needed and assigned
c. Communicates all concerns and problems to management timely and effectively
d. Attends and participates in meetings as required
e. Completes special projects as assigned
22. Effective performance of assigned clerical functions
a. Answers incoming division/department calls; takes messages and directs calls to appropriate personnel
b. Provides receptionist coverage as assigned
c. Completes weekly department ordering functions as assigned
d. Maintains and prepares training packets used in monthly SBA training sessions
e. Assists and supports department personnel as needed
f. Addresses questions and problems promptly, courteously and professionally
g. Prepares reports and records promptly and accurately as assigned
h. Attends and participates in meetings &/or training sessions as assigned
Training/Education/Certification:
• High school graduate or equivalent
• Coursework in general office skills
Required Knowledge:
• Knowledge of Credit Union policies and procedures
• Knowledge of related computer applications including Laser Pro, InBranch, LoanPro, CSAir, Flex, Imaging, Word, Excel and other web applications
• Knowledge of SBA One and/or PCFS (creditwrx and loan manager) preferred.
Experience Required:
• 3+ years of experience with SBA loan processing/closing.
• Working knowledge of SBA SOP’s.
• 3 + years of Document Preparation.
• Working knowledge of SBA SOP’s.
• New Accounts or teller experience preferred
• One year general office experience, preferably in financial environment
• Loan quality assurance or loan secretary experience helpful.
